It combines audio recordings with a personal AI Coach that supports your clients 24\/7 between sessions.<\/p>\n<p>With My247Coach, you can:<\/p>\n<ul>\n<li>Listen to professional audio recordings in the Audio Library and add them to your own collection<\/li>\n<li>Upload and record your own audio for your clients<\/li>\n<li>Create and manage clients through an intake flow<\/li>\n<li>Offer a public AI intake on your own website, so prospective clients can have an anonymous, no-obligation first conversation<\/li>\n<li>Activate or deactivate the AI Coach per client<\/li>\n<li>View transcripts of AI conversations<\/li>\n<li>Log sessions in the client file<\/li>\n<li>Manage your own settings (language, password, AI instructions)<\/li>\n<\/ul>\n<hr \/>\n<h2 id=\"dashboard\">Your Dashboard<\/h2>\n<p>After logging in, you land on your personal dashboard. At the top, you see a welcome message and four overview cards:<\/p>\n<ol>\n<li><strong>Recordings<\/strong> \u2014 the total number of audio recordings in your collection<\/li>\n<li><strong>Clients<\/strong> \u2014 the number of clients you have created<\/li>\n<li><strong>AI Credits<\/strong> \u2014 your available AI balance (see the chapter <a href=\"#ai-credits\">AI Credits<\/a>)<\/li>\n<li><strong>Storage<\/strong> \u2014 how much storage space you have used<\/li>\n<\/ol>\n<p>Below that, you&#8217;ll find three main sections: <strong>My Recordings<\/strong> with all your audio recordings and search and filter functions, <strong>My Clients<\/strong> with all your clients, their status and latest activity, and at the bottom <strong>Intakes<\/strong> with the public AI intake and all conversations coming through it.<\/p>\n<p>In the top right of your dashboard, you&#8217;ll find three buttons:<\/p>\n<ul>\n<li><strong>Talk to Clara<\/strong> \u2014 open Clara, your personal help assistant who answers all your questions about the platform (see the chapter <a href=\"#clara\">Clara \u2014 your help assistant<\/a>)<\/li>\n<li><strong>Settings<\/strong> \u2014 open your profile and preferences (language, password, AI instructions)<\/li>\n<li><strong>Log out<\/strong> \u2014 log out<\/li>\n<\/ul>\n<p>Between the overview cards and the main sections you&#8217;ll also find quick-navigation buttons: <strong>My Clients<\/strong>, <strong>My Recordings<\/strong>, <strong>Audio Library<\/strong>, <strong>Intakes<\/strong>, <strong>Top up credits<\/strong>, and <strong>Log out<\/strong>. Handy for jumping straight to a section or action without scrolling.<\/p>\n<hr \/>\n<h2 id=\"audio-library\">Audio Library<\/h2>\n<p>The Audio Library is a collection of professional therapeutic audio recordings that you can listen to and add to your own recordings. The audios are available in various categories such as stress, anxiety, self-confidence, weight management, sleep, and smoking cessation.<\/p>\n<h3>Listening to and adding audios<\/h3>\n<ol>\n<li>On your dashboard, scroll to the <strong>&#8220;Audio Library&#8221;<\/strong> section<\/li>\n<li>Browse the available categories or use the search function<\/li>\n<li>Click on an audio recording to listen to a preview<\/li>\n<li>Click <strong>&#8220;Add&#8221;<\/strong> to add the recording to your own collection under My Recordings<\/li>\n<li>Once added, you can assign the recording to your clients<\/li>\n<\/ol>\n<h3>Availability<\/h3>\n<p>Some audios are directly available, while other audios appear <strong>grayed out and locked<\/strong>. Locked audios become available with a full subscription. The Audio Library is regularly expanded with new recordings.<\/p>\n<hr \/>\n<h2 id=\"recordings\">Managing Recordings<\/h2>\n<p>In the My Recordings section, you see two buttons:<\/p>\n<ul>\n<li><strong>&#8220;+ AI Recording&#8221;<\/strong> \u2014 Coming soon: have AI generate a professional therapeutic recording that you can assign to multiple clients. Click the button for more information.<\/li>\n<li><strong>&#8220;+ Own Recording&#8221;<\/strong> \u2014 Upload or record your own audio.<\/li>\n<\/ul>\n<h3>Uploading your own recording<\/h3>\n<ol>\n<li>Click the <strong>&#8220;+ Own Recording&#8221;<\/strong> button above your recordings list<\/li>\n<li>Enter a title (required) and an optional description<\/li>\n<li>Select the <strong>&#8220;Upload file&#8221;<\/strong> tab<\/li>\n<li>Drag your audio file into the upload area or click to choose a file<\/li>\n<li>Supported formats: MP3, WAV, OGG, M4A, WebM, MP4<\/li>\n<li>Click <strong>&#8220;Save Recording&#8221;<\/strong><\/li>\n<\/ol>\n<h3>Recording audio with your microphone<\/h3>\n<ol>\n<li>Click the <strong>&#8220;+ Own Recording&#8221;<\/strong> button<\/li>\n<li>Enter a title<\/li>\n<li>Select the <strong>&#8220;Record&#8221;<\/strong> tab<\/li>\n<li>Click <strong>&#8220;Start Recording&#8221;<\/strong> and give access to your microphone<\/li>\n<li>Click <strong>&#8220;Stop&#8221;<\/strong> when you&#8217;re done<\/li>\n<li>You can listen to the recording before saving<\/li>\n<li>Click <strong>&#8220;Save Recording&#8221;<\/strong><\/li>\n<\/ol>\n<h3>Editing or deleting a recording<\/h3>\n<p>Click on a recording&#8217;s title to see its details. Use the edit button to change the title and description. Use the delete button to permanently remove a recording \u2014 this cannot be undone.<\/p>\n<h3>Assigning a recording to a client<\/h3>\n<ol>\n<li>Click <strong>&#8220;Assign&#8221;<\/strong> next to the client in your client list<\/li>\n<li>Select the recordings you want to assign<\/li>\n<li>Optional: check whether you want to send a notification email<\/li>\n<li>Click confirm<\/li>\n<\/ol>\n<p>The client receives an email and can listen to the recording on their own dashboard.<\/p>\n<hr \/>\n<h2 id=\"clients\">Managing Clients<\/h2>\n<p>In the My Clients section, you see two buttons:<\/p>\n<ul>\n<li><strong>&#8220;+ Custom AI Recording&#8221;<\/strong> \u2014 Coming soon: have AI generate a personalized recording, tailored to a specific client. Click the button for more information.<\/li>\n<li><strong>&#8220;+ New Client&#8221;<\/strong> \u2014 Create a new client through the intake flow.<\/li>\n<\/ul>\n<h3>Creating a new client (intake flow)<\/h3>\n<p>The intake flow has up to 6 steps. The number of steps depends on the topic and whether you activate the AI Coach.<\/p>\n<p><strong>Step 1 \u2014 Basic information<\/strong><br \/>\nFill in your client&#8217;s first name, last name, and email address. Choose the country and language.<\/p>\n<p><strong>Step 2 \u2014 Topic and AI Coach<\/strong><br \/>\nChoose what you use My247Coach for (weight loss, smoking cessation, anxiety, self-confidence, sleep, pain, stress, or other). Choose whether to activate the AI Coach.<\/p>\n<p><strong>Step 3 \u2014 Approach<\/strong> (only for &#8220;Weight loss&#8221;)<br \/>\nChoose the approach: <strong>Magic 5 Protocol<\/strong> or <strong>own approach<\/strong>.<\/p>\n<p>The Magic 5 Protocol (M5P) is a specialized hypnotherapy masterclass for weight loss, developed for fellow therapists. More info at <a href=\"https:\/\/magic5protocol.com\" target=\"_blank\" rel=\"noopener\">magic5protocol.com<\/a>. If you&#8217;re guiding a client through this method, you can indicate here how many sessions have already been completed \u2014 this way Sophie knows where your client is in the journey and can tailor her support accordingly.<\/p>\n<p>If you choose <strong>own approach<\/strong>, Sophie works with the context you fill in during the next step.<\/p>\n<p><strong>Step 4 \u2014 Context for the AI<\/strong><br \/>\nOptional fields to help the AI Coach align better: the client&#8217;s main goal, what&#8217;s already going well, what they struggle with, and what support they need.<\/p>\n<p><strong>Step 5 \u2014 Crisis alert<\/strong><br \/>\nOptional: activate the crisis alert. If you turn this on, you receive an email if the AI suspects your client is in immediate danger.<\/p>\n<p><strong>Step 6 \u2014 Confirmation<\/strong><br \/>\nReview all details and click confirm. The client receives an activation email with login credentials.<\/p>\n<h3>Editing a client<\/h3>\n<ol>\n<li>Click on a client&#8217;s name in your client list<\/li>\n<li>Go to the <strong>&#8220;Overview&#8221;<\/strong> tab<\/li>\n<li>Click <strong>&#8220;Edit client&#8221;<\/strong><\/li>\n<li>Adjust the fields you want<\/li>\n<li>Click <strong>&#8220;Save&#8221;<\/strong><\/li>\n<\/ol>\n<p>You can also activate or deactivate the AI Coach here, change the transcript frequency, and add extra AI instructions.<\/p>\n<hr \/>\n<h2 id=\"ai-intake\">AI Intake with Nora and Sam<\/h2>\n<p>In addition to the manual intake flow for existing clients, My247Coach offers a <strong>public AI intake<\/strong>: your own web address where prospective clients \u2014 visitors of your website, your socials, or your newsletter \u2014 can have a non-committal, anonymous first conversation with <strong>Nora<\/strong> or <strong>Sam<\/strong>, your AI intake assistants. Only when the conversation is going well and the visitor wants to take things further do Nora or Sam ask for contact details to book an appointment with you.<\/p>\n<p>Think of it as a tireless, always-available receptionist \u2014 one that&#8217;s there 24\/7, speaks multiple languages, and dramatically lowers the threshold for people to get in touch. The alternative \u2014 Google Ads or paid social campaigns \u2014 quickly runs \u20ac300 to \u20ac1,000 per month. An AI intake on your own site costs you just a fraction of that.<\/p>\n<h3>Why does this work so well?<\/h3>\n<p>The AI assistants in My247Coach are <strong>not<\/strong> general models like ChatGPT. Think of it as a Swiss Army knife next to a set of specialized chef&#8217;s knives. A Swiss Army knife can do a lot, but nothing exceptionally well. Nora, Sam, and Sophie are like a razor-sharp filleting knife \u2014 built for one domain: hypnotherapy-related conversations. They know the nuances, the pitfalls, the language, and the tone.<\/p>\n<p>The goal is <strong>not<\/strong> for AI to do therapy itself, but for you as a therapist to have powerful tools at your disposal: to welcome visitors, support clients between sessions, and get your own practical platform questions answered. The AI works for you, not instead of you.<\/p>\n<h3>Activating your intake<\/h3>\n<ol>\n<li>On your dashboard, scroll all the way down to the <strong>Intakes<\/strong> section<\/li>\n<li>Click the arrow to the right of <strong>&#8220;Intake Settings&#8221;<\/strong> to expand the panel<\/li>\n<li>Check <strong>&#8220;Activate Intake&#8221;<\/strong><\/li>\n<li>Set your preferences (see below)<\/li>\n<li>Click <strong>&#8220;Save&#8221;<\/strong><\/li>\n<\/ol>\n<p>As soon as you&#8217;ve activated the intake, your unique intake link is immediately active.<\/p>\n<h3>Configuring your intake<\/h3>\n<p>In the <strong>Intake Settings<\/strong> panel, you&#8217;ll find the following options:<\/p>\n<ul>\n<li><strong>Your intake link<\/strong> \u2014 a personal web address (e.g. <code>https:\/\/my247coach.online\/index.php\/intake\/?t=pb1319<\/code>). Click <strong>&#8220;Copy link&#8221;<\/strong> to put it on your clipboard. You place this link on your website, in your email signature, in your Instagram bio, LinkedIn, or anywhere you like.<\/li>\n<li><strong>Language<\/strong> \u2014 choose the language in which your intake is offered by default (Dutch, French, English, or Spanish).<\/li>\n<li><strong>Title line 1, 2, and 3<\/strong> \u2014 three lines of text that appear at the top of your intake page. These set the right tone for your visitor. Example: &#8220;Have doubts about hypnotherapy? \/ Not sure if it&#8217;s right for you? \/ Talk it through openly and anonymously with one of our AI assistants.&#8221;<\/li>\n<li><strong>Demo audio<\/strong> \u2014 check this if you want Nora or Sam to be able to offer a short sample audio during the conversation. This gives visitors an immediate taste of your audio recordings&#8217; quality.<\/li>\n<\/ul>\n<p><strong>Note:<\/strong> each intake costs a small amount of AI credit, even if the visitor leaves no contact details. So keep in mind that curious visitors count too. For most therapists, one new client from an intake more than pays back the cost of many conversations.<\/p>\n<h3>Nora and Sam<\/h3>\n<p>Your visitors can choose who they talk to themselves:<\/p>\n<ul>\n<li><strong>Nora<\/strong> \u2014 the female AI assistant. Warm, empathetic, calm.<\/li>\n<li><strong>Sam<\/strong> \u2014 the male AI assistant. Straight-shooting, friendly, down-to-earth.<\/li>\n<\/ul>\n<p>Both work according to the exact same therapeutically-trained style. The choice between male and female voice is purely visitor preference.<\/p>\n<h3>Viewing received intakes<\/h3>\n<p>Beneath the Intake Settings panel, you see a list of all intake conversations that have taken place. For each conversation, you see:<\/p>\n<ul>\n<li><strong>Date<\/strong> \u2014 when the conversation took place<\/li>\n<li><strong>Assistant<\/strong> \u2014 who the visitor talked to (Nora or Sam)<\/li>\n<li><strong>Name<\/strong> and <strong>Email<\/strong> \u2014 only filled in if the visitor left contact details<\/li>\n<li><strong>Topic<\/strong> \u2014 what the visitor was seeking help with<\/li>\n<li><strong>Messages<\/strong> \u2014 the number of messages exchanged<\/li>\n<li><strong>Contacted<\/strong> \u2014 date on which you followed up with this visitor (if applicable)<\/li>\n<li><strong>Actions<\/strong> \u2014 four buttons for working with this intake (see below)<\/li>\n<\/ul>\n<p>Conversations where no contact details were left remain anonymous in the list \u2014 this lets you see how often your intake is used, even without conversion.<\/p>\n<h3>The four action buttons<\/h3>\n<p>Next to each intake you&#8217;ll find four action buttons. Each has its own function:<\/p>\n<ul>\n<li><strong>Eye icon \u2014 View &#038; convert to client<\/strong><br \/>\nOpens the full transcript of the intake conversation. You can read the transcript, copy it (e.g. to paste into your own records), and \u2014 most powerfully \u2014 in one click <strong>convert this visitor to a full client<\/strong> in your system via the <strong>&#8220;+ Create Client&#8221;<\/strong> button. The name, email address, and topic are automatically carried over, so you don&#8217;t have to type everything again. This saves a lot of time on a warm conversion.<\/li>\n<li><strong>Phone icon \u2014 Mark as contacted<\/strong><br \/>\nClick this when you&#8217;ve followed up with the visitor \u2014 by phone, email, or any other way. A small window opens where you choose the <strong>date<\/strong> on which you made contact, then click <strong>&#8220;Save&#8221;<\/strong>. This date then appears in the &#8220;Contacted&#8221; column. This keeps you on top of who you have and haven&#8217;t reached out to \u2014 handy when you&#8217;re following up on multiple leads at once.<\/li>\n<li><strong>Box icon \u2014 Archive<\/strong><br \/>\nVisitors who, even after follow-up, don&#8217;t book an appointment \u2014 or anonymous intakes that never lead to contact \u2014 can be archived. The intake then disappears from your active list, but is <strong>not deleted<\/strong>: all data is preserved for potential later reference. This keeps your list workable, especially if your intake is actively used.<\/li>\n<li><strong>Lock icon \u2014 GDPR deletion<\/strong><br \/>\nUnder the GDPR, every European citizen has the right to request that all their personal data be permanently erased. If a visitor explicitly requests this from you, use this button: all personal data for this intake (name, email, transcript content) is irreversibly deleted. <strong>This action cannot be undone.<\/strong> Only use this upon written request from the person concerned.<\/li>\n<\/ul>\n<h3>What an intake costs<\/h3>\n<p>Each intake automatically deducts credit from your balance, based on the number of messages exchanged. For an average conversation, this is a small amount. You can find this later in your cost overview (see the chapter <a href=\"#ai-credits\">AI Credits<\/a>).<\/p>\n<hr \/>\n<h2 id=\"ai-coach\">The AI Coach<\/h2>\n<h3>How does the AI Coach work?<\/h3>\n<p>The AI Coach \u2014 named <strong>Sophie<\/strong> \u2014 is a personal chat assistant your clients can use 24\/7. Like Nora and Sam, Sophie is a specialized assistant: she knows the context of the journey (topic, approach, session progress), follows your instructions and therapeutic style, and never sends clients away from you \u2014 she is a complement, not a replacement. Sophie always refers to &#8220;your therapist&#8221; and never claims to be one herself.<\/p>\n<p>Clients can chat with Sophie whenever they want: in the middle of the night after a difficult day, in the morning when in doubt, or just before a challenging moment. The AI knows the background you&#8217;ve filled in and builds on that, conversation by conversation.<\/p>\n<h3>Activating or deactivating the AI Coach<\/h3>\n<ol>\n<li>Open the client details (click on the client&#8217;s name)<\/li>\n<li>Click <strong>&#8220;Edit client&#8221;<\/strong><\/li>\n<li>Toggle <strong>&#8220;AI Chat enabled&#8221;<\/strong> on or off<\/li>\n<li>Click <strong>&#8220;Save&#8221;<\/strong><\/li>\n<\/ol>\n<h3>Setting your own AI instructions<\/h3>\n<p>You can give Sophie instructions at two levels:<\/p>\n<p><strong>Per client:<\/strong> Open the client details, click &#8220;Edit client,&#8221; and fill in the &#8220;Extra AI instructions&#8221; field. Example: &#8220;This client is sensitive to guilt; never use shaming language.&#8221; or &#8220;For this client, put extra emphasis on body-centered anchoring.&#8221;<\/p>\n<p><strong>For all your clients:<\/strong> Go to your <a href=\"#settings\">Settings<\/a> (button in the top right) and fill in the &#8220;Your AI instructions&#8221; field. These instructions apply to all conversations with all your clients \u2014 a good place for your general therapeutic style or taboos.<\/p>\n<h3>Credits and blocking<\/h3>\n<p>Sophie consumes credit with every conversation. If your balance is empty, Sophie is automatically paused until your balance is topped up. Your clients then see a clean message that the AI Coach is temporarily unavailable. They can still listen to audio recordings. More details in the chapter <a href=\"#ai-credits\">AI Credits<\/a>.<\/p>\n<hr \/>\n<h2 id=\"ai-credits\">AI Credits<\/h2>\n<p>AI credits are your balance for using My247Coach&#8217;s AI assistants: <strong>Sophie<\/strong> (the AI Coach for your clients), <strong>Nora<\/strong> and <strong>Sam<\/strong> (the AI intake on your website), and <strong>Clara<\/strong> (your own help assistant). Every conversation costs a small amount, depending on length and type of conversation.<\/p>\n<p>Your balance is shown <strong>in euros<\/strong> on your dashboard and in all your emails. No foreign currencies, no abstract points \u2014 just an amount you understand.<\/p>\n<h3>What does a conversation cost?<\/h3>\n<p>The cost per conversation is low and depends on length. In practice, this ranges from <strong>a few cents for a short conversation<\/strong> to <strong>around half a euro at most for a very extensive conversation<\/strong>. For most therapists, we&#8217;re talking about a few euros per month in normal use \u2014 a fraction of what a single paying client brings in.<\/p>\n<h3>Viewing your balance<\/h3>\n<p>You can always see your available balance in the top right of your dashboard in the <strong>AI Credits<\/strong> card. There you&#8217;ll also see whether your current subscription is expiring, whether any warnings are active, and when you last topped up.<\/p>\n<h3>Warnings \u2014 three levels<\/h3>\n<p>We don&#8217;t want you to ever be unpleasantly surprised by an AI that suddenly goes quiet. That&#8217;s why we send you an email at three moments:<\/p>\n<ol>\n<li><strong>Low balance<\/strong> \u2014 you&#8217;re still well above zero, but we warn you early so you have time to top up. The exact threshold depends on your subscription (around 10% of your monthly balance, with a minimum of \u20ac2).<\/li>\n<li><strong>Balance empty<\/strong> \u2014 your balance is \u20ac0 or negative. The AI assistants still work for now, but you get an urgent notification that topping up is needed now.<\/li>\n<li><strong>Below the minimum threshold<\/strong> \u2014 your balance has dropped below -\u20ac2. This is the last warning before the AI stops.<\/li>\n<\/ol>\n<h3>What happens with an empty balance?<\/h3>\n<p>At a balance below <strong>-\u20ac2.50<\/strong>, Sophie, Nora, Sam, and Clara are temporarily paused. Your clients see a clean message that the AI Coach is temporarily unavailable; visitors to your intake page see that the intake is currently closed; and Clara herself lets you know in a friendly, lightly humorous way that topping up is needed. As soon as you top up, everything starts again automatically \u2014 you don&#8217;t have to do anything.<\/p>\n<p><strong>Good to know:<\/strong> your clients can continue to listen to audio recordings during this period. Only the AI chat is temporarily offline.<\/p>\n<h3>Topping up your balance<\/h3>\n<p>You can top up your balance in two ways:<\/p>\n<ol>\n<li><strong>Via a subscription<\/strong> \u2014 every month (or every year) a fixed balance is automatically added. This is the simplest option.<\/li>\n<li><strong>Via a one-off purchase<\/strong> \u2014 click the <strong>&#8220;Top up credits&#8221;<\/strong> button on your dashboard or in the warning email. You can choose from fixed amounts (\u20ac10, \u20ac25, \u20ac50) or enter your own amount under <strong>&#8220;Other amount&#8221;<\/strong>.<\/li>\n<\/ol>\n<p>When topping up, we briefly ask you for a <strong>reason<\/strong>: precaution, extra campaign, M5P package, or <strong>&#8220;Other&#8221;<\/strong> where you can enter a short text yourself. This helps us understand your usage and serve you better \u2014 there&#8217;s no wrong answer.<\/p>\n<p>Payment is done through <strong>Mollie<\/strong>, a European payment provider. All common methods are supported: Bancontact, iDeal, credit card, SEPA. Your balance is credited immediately after payment.<\/p>\n<hr \/>\n<h2 id=\"transcripts\">Viewing Transcripts<\/h2>\n<p>After every AI conversation, a transcript is automatically generated. This contains a summary, a mood indication, and any points of attention. Here you put feelings, hunches, questions to yourself \u2014 things that don&#8217;t belong in a formal observation.<\/li>\n<\/ul>\n<h3>Viewing the timeline<\/h3>\n<p>In the <strong>Sessions<\/strong> tab, you see all your face-to-face sessions in chronological order. In <strong>AI Chats<\/strong>, you see what your client discussed with Sophie. Together they give you the full picture \u2014 what happened in practice, and what played out in between.<\/p>\n<p>Especially with long-running journeys, this is valuable: just before a session, you read the last AI chat and your own last observations, and you&#8217;re immediately up to speed again. With this, at login you need a one-time code in addition to your password.<\/p>\n<p><strong>Important:<\/strong> My247Coach takes extensive technical security measures to protect your data and that of your clients, including encryption of sensitive data and secure connections. 2FA is an extra layer of security that you as a professional can enable yourself. Because you have access to confidential client data, we strongly recommend activating 2FA.
